How to add an email signature in Outlook for Mac

Outlook for Mac takes a pasted signature with logo and links intact. It takes three minutes, mostly because the defaults are hidden behind a second button.

Step by step

5 steps
  1. 1

    Step 01 / 05

    Copy your signature

In the builder, click Copy signature.

  2. 2

    Step 02 / 05

    Open Signatures

In the menu bar, choose Outlook › Settings (on older versions Preferences) and click Signatures under Email.

  3. 3

    Step 03 / 05

    Create and paste

Click the + (Add) icon, give the signature a name, select any placeholder text in the editor and press ⌘+V.

  4. 4

    Step 04 / 05

    Set the defaults

Under Set default signature, pick the account and choose your signature for For new messages and For replies or forwards.

  5. 5

    Step 05 / 05

    Close to save

There's no Save button: just close the Signatures window. Open a new email to check. (Still on legacy Outlook for Mac? Then the editor may have a Save button; click that first.)

P.S. Good to know

  • Paste straight from your browser. Going via Notes or TextEdit first strips the formatting.
  • With a Microsoft 365 account, signatures can sync to Outlook on the web and new Outlook for Windows.

Not working?

The most common problems, and what to do about them.

The images turn into empty boxes.

Outlook for Mac sometimes waits to download remote images. Send a test email; recipients usually see them fine. If not, copy again from the builder and paste directly.

The signature isn't added automatically.

You still need to set the default per account under Set default signature. Without that, insert it by hand via Signature in the message toolbar.

Can I edit the signature in Outlook afterwards?

Small text edits are fine. For layout changes, edit it in the builder and paste again; that keeps the email-safe structure intact.

No signature yet?

Make one in two minutes.

Free, no account, no watermark. Copy it and paste it into Outlook for Mac with the steps above.
